Every order is custom, and nothing matched up

Lettermen sells hockey and custom team gear through a main website, a second storefront for custom products and its retail store. Team uniform orders were keyed separately from the retail system, so the same order existed twice and agreed on nothing.

The catalog made it harder: thousands of vendor style, color and size combinations had to become gridded items in the retail system and products online, with the right colors, stock and availability.

Deposits and back orders on team orders left inventory commitments wrong and releases stuck, custom items had no matching record to import against, and loyalty points didn't follow customers between the website and the stores.

One record per order, whatever it was ordered on

PeakBeyond's approach was to make the retail system the single record for everything sold — main site, custom storefront, team orders and in-store — and to import against it rather than keying anything twice.

Custom products were the obstacle, because they have no catalog item to match. We designed the import to book unmatched custom items against a generic item while passing the personalization choices through, so the sale reconciles even when the product is one of a kind.

For the catalog, automation beat data entry: vendor catalog lookups and color mapping create items on the fly, with nightly image and pricing exports keeping the storefronts current.

Integrations that take the double entry out of the business

The work has run for several years as a series of connected integrations and clean-ups.

PeakBeyond worked with Lettermen Sports's internal team and specialized technology partners to:

  • Connected the second, custom-product storefront to the retail system, importing unmatched custom items with their personalization options and correct tax treatment
  • Automated the catalog: vendor lookups and color mapping, items created on the fly, vendor availability shown online, and nightly image and tiered-pricing exports
  • Reworked team uniform and web order imports — payment lines, account charges, unit prices and line sequencing — and recalculated inventory commitments so releases stopped sticking
  • Built loyalty tracking with scheduled program transitions, point boosts, expiry dates and automated reports, plus an hourly customer sync for marketing
  • Brought RFID inventory counts from every location into the retail system and the point of sale
  • Supports the production dashboard and decoration pricing, social commerce feeds, malware and bot protection, and is advising on a lighter future platform

Orders reconcile, inventory is trusted, customers are recognized everywhere

Custom product options began importing correctly into the retail system in September 2024, so the second storefront stopped being a separate island of orders.

The RFID download works for each location and the first phase of the team order import was completed in 2022, replacing hand-keyed uniform orders. The hourly customer sync runs reliably, so marketing and loyalty work from the same customer records as the stores.

Lettermen can take a custom team order, a web order or a counter sale and see them all in one place, with points that follow the customer between them.

A business built on one-of-a-kind products now runs on one set of numbers.
