The Challenge
A nonprofit's busiest months, run across three separate websites
Boys Republic is a nonprofit youth organization whose wreath program brings in a year's online orders in a few months. Most of those orders are gifts going to many different addresses.
The organization ran three websites: a main site on one system and separate stores for wreaths and the bakery on another. Staff maintained all of them, and the tools didn't share products, customers or reporting.
Whatever replaced them had to be ready before the season opened, be maintainable by non-technical staff, and still deliver orders, tracking and tax into the back office and shipping systems the organization runs on.
The Strategy
Consolidate first, then make gift ordering easy
PeakBeyond's recommendation was one store on a platform the staff could run themselves, with the build sequenced in phases — setup, theme, data migration from all three sites, navigation, checkout and testing — against the immovable date of the season opening.
Redirects and search metadata were carried across deliberately, because a nonprofit that depends on seasonal search traffic can't afford to lose its rankings in its only selling window.
After the first season we judged the multi-address gift flow the weak point, evaluated the options and moved to one built with the app developer and proved in a sandbox store, with a staff mode for phone orders.
The Solution
One store, connected to the back office and built for gift season
The work runs on the season's calendar: build and launch, then improve between seasons.
PeakBeyond worked with Boys Republic's internal team and specialized technology partners to:
- Merged three websites into one store — setup, theme, data migration, navigation, checkout and payments — with redirects and search metadata carried across
- Connected the store to the retail system, shipping software and accounting: parent and child order numbering for multi-address gifts, tagging so missing orders are easy to spot, daily batch release so tracking flows back, and payment codes split by ordering method so finance reconciles
- Rebuilt multi-recipient ordering for the second season: separate bakery and wreath ordering pages, gift message and address fields sized for the back office, spreadsheet import and export of recipient lists, order history and resend
- Added a staff mode so phone orders take a few steps instead of many
- Set up gift cards across the website, point of sale and back office, and connected marketing with delivery-status digests and a reorder flow
- Wrote a step-by-step order entry guide and trained the team ahead of the season
The Results
The season opened on time, on one site
The new store launched in September 2025 and online wreath ordering opened on October 1, as planned — three sites replaced by one that staff maintain themselves.
Through the first season PeakBeyond found and fixed issues before they became problems, re-imported orders with tax adjustments, standardized address data and cleared a tax bug that blocked order edits.
For the following season the ordering pages were redesigned, gift cards now work across web, counter and back office, and staff went in with a written order entry guide.
The program that funds the year now runs on one site the organization controls.
